Your automatic is filled for life, and the company that built it disagrees
A fill that lasts the life of the car is a claim about how long the car is expected to last, not about the oil.
Open the service book of almost any modern automatic and look for the gearbox. In a great many of them it is simply not there, because the fluid was described at the factory as a lifetime fill, and that phrase has done more quiet damage than any other two words in a maintenance schedule. It does not mean the oil cannot age. It means the oil was validated against the design life the manufacturer calculated for the car, a figure shaped by warranty exposure and average use rather than by what your particular gearbox is being asked to do. The clearest evidence that those are two different things comes from the company that actually builds the gearbox. ZF's 8HP eight-speed automatic has been adopted by more than 20 brands and passed 15 million units built by 2023, and while the carmakers bolting it in frequently print no interval at all, ZF's own aftermarket service documentation recommends an oil and filter change at roughly 80,000 to 120,000 kilometres, or eight years, depending on how hard the transmission has been worked. Same hardware, same oil, two different answers, and only one of them is written by the people who tested the fluid.
The fluid is doing three jobs, and heat wears out all three
Automatic transmission fluid is not lubricant in the way engine oil is. It is the hydraulic medium that applies the clutches, the coolant that carries heat away from them, and a friction modifier tuned so those clutches grip and release at exactly the right rate, which is what a smooth shift actually is. Heat degrades all three functions at once, and it does not do so proportionally. A gearbox cruising a motorway at a steady temperature ages its oil slowly; the same gearbox towing a caravan up a pass, or crawling through city traffic where the torque converter slips and dumps that lost energy into the fluid as heat, runs far hotter, and the ageing curve steepens rather than sloping. A lifetime fill is validated against the gentle version of that life. There is also a calendar component that owes nothing to distance, in the same way that a tyre carries a date code as well as a tread depth, because the additive package depletes and the seals harden whether the car is moving or parked.
The company that built your gearbox publishes an interval, the company that sold you the car often does not
This is not a technical disagreement, it is a difference in who each document is written for. A supplier writes a service recommendation for a piece of hardware it wants to survive; a carmaker writes a service schedule for a product it wants to sell, and that schedule has a marketing department attached to it. A short list of scheduled work makes a car look cheaper to run across exactly the years a finance or lease contract covers, which is the period the buyer compares before signing. The gearbox tends to present its bill afterwards, to a second or third owner who was not in the room when the decision was made. So if your handbook says nothing about gearbox oil, the useful move is to stop reading that silence as a specification. Take the supplier's figure as the real one, and treat whatever the handbook does say as a floor rather than a ceiling.
A wet clutch changes the answer, a dry one does not
Dual-clutch gearboxes split into two families, and the fluid question splits with them. In a wet-clutch unit, such as Volkswagen's DQ250 and DQ500 or Audi's DL501, the friction plates run submerged, so the fluid carries away clutch material as well as heat, and there is a genuine printed interval, typically in the region of 60,000 kilometres together with a filter. Skipping that one is not a gamble, it is a countdown. A dry-clutch unit such as the DQ200 keeps its clutches out of the oil entirely, so the gear oil really is a long-life fill and the servicing attention moves to the mechatronic unit instead. CVTs are a third case again, running a fluid formulated for a steel belt gripping pulleys, where ordinary ATF causes exactly the slip the design cannot tolerate. And an electric car mostly has a single-speed reduction gear with a modest oil fill and no clutch to contaminate it, which is one of several ways an EV shifts its running costs somewhere else, as owners tend to discover through their tyres.
The job is a new sump and a temperature-controlled fill, not a pour from a bottle
On the 8HP and many units like it the filter is moulded into the plastic sump pan, so a filter change means a whole new pan and seal, a one-time part rather than something that can be cleaned and refitted. There is no dipstick either. The level is set through a plug in the side of the housing with the fluid held inside a narrow temperature window, in the region of 30 to 50 degrees depending on the unit, read from the gearbox sensor with a scan tool or a probe in the pan; fill it cold and the level will be wrong the moment it is hot. A drain also leaves a meaningful volume of old fluid behind in the torque converter and the cooler lines, so no single service replaces everything, which is an argument for doing it on schedule rather than once, late, in a panic. Insist on the fluid the maker names, because a universal ATF is the transmission equivalent of reaching for a can that was never a lubricant in the first place. Keep the invoice afterwards: a documented gearbox service is one of the few maintenance items a private buyer will actually pay extra for.
What to actually do
None of this is a job for a driveway, but all of it is a conversation you can have with a garage from a position of knowing what should happen.
Identify the gearbox before anything else. A ZF torque-converter automatic, an Aisin, a DQ-coded dual clutch and a CVT all want different answers, and the type is usually on a plate on the housing or retrievable from the VIN data.
Read the handbook's demanding-conditions schedule rather than the headline one. Towing, mountain roads, stop-start city use and repeated short trips all put you in that column.
If the book gives no interval at all for a torque-converter automatic, work to eight years or roughly 100,000 kilometres, whichever arrives first.
On a wet-clutch dual-clutch gearbox, treat the printed interval, usually around 60,000 kilometres with a filter, as a hard requirement rather than a suggestion.
Ask the quote to include the sump pan and seal, not just fluid and labour. On many units the filter is inside the pan and cannot be cleaned or reused.
Name the fluid specification in the conversation and check it appears on the invoice. Universal ATF is the cheapest possible way to buy a shifting problem.
Confirm the garage sets the level at temperature. If they cannot read the gearbox oil temperature, they cannot set the level correctly, whatever else they do well.
If the gearbox already slips, hesitates or thumps into gear, get it diagnosed first. Fresh oil does not rebuild worn friction material and a service is not a repair.
File the invoice with the mileage on it. It is worth real money at resale, and in a warranty dispute it is usually the document the argument turns on.
Frequently asked questions
Is it true that changing the oil at high mileage can break a gearbox that was working fine?
This is the story that keeps neglected gearboxes neglected, and it is half true for the wrong reason. Clean fluid does not attack clutch material. What happens on a very high-mileage unit is that the worn friction surfaces were being helped along by the friction properties of old, contaminated oil, and restoring the correct fluid removes that crutch and reveals wear that was already there. The failure was already booked; the service only moved the date. The conservative route on a neglected gearbox is a pan drop with a new filter and a fill, not a high-pressure flush, and the honest answer is that a unit already slipping needs diagnosis rather than oil.
My handbook does not mention gearbox oil at all. Does that mean it never needs any?
No. A service schedule is a commercial document as much as a technical one, and it is written to cover the period during which the manufacturer carries the risk. Silence in it is not a statement that a component is maintenance-free for ever; it is a statement that no work is scheduled. The supplier's own documentation is the better guide, and for the most widely fitted eight-speed automatic in Europe that documentation gives a figure rather than a blank.
What should this cost?
Enough to notice and far less than the alternative. Across most of Western Europe a full oil, filter and pan service at an independent transmission specialist sits in the low hundreds of euros, with a franchised dealer typically charging more for the same work, and prices in Central and Eastern European markets running lower again. Set that against a rebuilt or replacement automatic, which is a four-figure bill in every market on the continent, and the arithmetic is not close. The variable worth asking about is not the hourly rate but whether the pan and the correct fluid are included.
Does an electric car have gearbox oil?
Yes, though far less of it and under gentler conditions. A typical EV drive unit uses a single-speed reduction gear with a modest oil fill, sometimes doubling as a coolant for the motor itself, and with no clutch packs there is nothing shedding friction material into it. Most makers class it as a lifetime fill and a few specify a change at high mileage. The loads are low but the speeds are not, since the reduction gear is being driven by a motor spinning far faster than any combustion engine, so it is worth checking what your own maker actually says rather than assuming an electric car has no fluids at all.
Is a flush better than a drain and fill?
Not on a gearbox with an unknown history. A machine flush exchanges more of the total volume, including what sits in the torque converter and cooler lines, which is genuinely useful on a unit that has been serviced regularly. On one that has not, it can dislodge deposits into passages that were coping without them. The low-risk way to reach the same place is two ordinary drain-and-fill services spaced a few thousand kilometres apart, which dilutes the remaining old fluid twice over without ever pressurising the system. Whichever route, the level still has to be set at temperature at the end of it.
